The New York Times/NYTimes.com Atlanta NSO Sales assistant’s main objective is to support the Atlanta sales office in its sales efforts. The primary duties are listed below, but may include additional tasks to properly support sales strategy and initiatives. This person will report to the Ad Director of the Atlanta office.
Skills that are required: Computer skills: MSWord, Excel, Powerpoint, research on the web, phone skills, general office maintenance – bill reconciliation, maintaining records, filing, ordering supplies, etc., and a supportive team attitude.
Sales support:
· Assist in information gathering for sales process including Ad Relevance, Ad Database, PIB
· Post forecast, pending
· Assist in sales prep as needed for sales calls
· Process insertion orders, handle order/material questions, problems.
· Maintain central insertion order file.
· Work with COF where needed. Also, SAP team.
· Answer/route/make calls on behalf of sales team.
· Provide general customer service for clients requesting general information, and keep appropriate sales person apprised immediately of the call.
· Maintain, and develop database by category.
· Group/individual mailings as required or requested.
· Prepare needed letters and proposals for group/individual mailings.
· General support for sales related functions with in reason (including, but not exclusive of – Sales events, advertiser/agency efforts, association efforts, etc.)
· Maintenance and development of reports, letters, and collateral as needed.
· Work with NY and other NSO’s as needed.
· Maintain premium items.
· Maintain comp. Subscriptions list – keep updated.
· Travel reservations – air/hotel/car, etc.
Office Operations:
· Mail – Pick up/route/review/respond as needed.
· Bill remittance/reconciliation
· Periodicals/newspaper maintenance
· Maintenance and service of all office equipment (including phone, computers, fax, copiers, printers, postage meter, etc.)
· Maintain all necessary paperwork – vacation forms, doctor forms, etc.
· Maintain office records
· Work with building management regarding office related issues.
Continue to handle office supplies with cost-control efforts paramount.
Other Skills:

¨ Ability to easily work under time constraints
